To assist in the day-to-day operation of Admin Department.


Tenancy management
  • To manage the tenancy for head office and branches.
  • To renew or terminate tenancy based on the management approval and the terms stated in the tenancy agreement.
  • To pay and refund all types of deposit.
  • To pay monthly rental or yearly quit rent before due date and avoid late payment penalty.
  • To apply and terminate utilities and related facilities upon commencing or terminating the tenancy.
  • To prepare the correspondence documents to the landlord or property agent.
  • Weekly update the tenancy master list and related departments or branches that require the information.
License management
  • To ensure all the business, signage or related licenses for head office and branches are renewed and monitored before due date and avoid penalty.
  • Weekly update the license management master list and related departments or branches that require the information.
Procurement & budgetary control
  • To perform indirect procurement such as assets, printed documents, refreshment, staff amenities and benefits, buntings, seminar hall booking, cover note book, certificate, copier, renovation services, or other procurement for head office and branches.
  • To perform the indirect procurement that comply the procurement for goods and service standard operating procedures.
  • To coordinate with tea lady for preparing food and beverages for in house meeting or training.
  • Daily update and monitor the expenses based on the approved budget.
  • To prepare request for quotation (RFQ) or request for proposal (RFP) based on the requirements.
Payment
  • To verify the supporting documents for invoice upon requesting payment.
  • To obtain Manager, Administration approval for payments.
  • To pay all the invoices or bills before due date and avoid late payment penalty.
Process improvement and automation
  • Review the workflows and recommend areas that require improvement and automation
  • Eliminate redundant processes
Requirement:
  • At least a Diploma, Advanced/ Higher/ Graduate Diploma/ Bachelor’s Degree/ Post Graduate Diploma
  • At least 3 years working experience in the related field
  • Demonstrate good judgement, solid problem-solving skill, self-motivated and well organized
  • Multitasking and time management skill, with the ability to prioritize tasks
  • Ability to be resourceful and proactive when issues arise
  • Should be a team player and must have good interpersonal skills
